Type in the quote you were given. The calculator shows annual administration cost, cost per employee, its share of total ICHRA spend and your full year-one cost, with the formula visible. Nothing you type is sent anywhere unless you ask for the emailed breakdown.
Add a headcount and your administrator's fees. The result updates as you type.
Enter your email and we will send the breakdown above, with your inputs and the formula, so you can compare quotes side by side or hand it to whoever signs off. No spam, no vendor pitches, unsubscribe in one click.
Not sure an ICHRA fits yet? Run the two-minute fit check first.
An ICHRA administrator charges a recurring fee, usually per enrolled employee per month, to run the reimbursement side of the plan. Under 26 CFR 54.9802-4 the plan must confirm each participant has individual coverage before the plan year and again before every reimbursement, and must send a written notice at least 90 calendar days before the plan year begins.
The regulation puts those duties on the plan, and the platform is what you pay to carry them out. In practice that means collecting proof of enrollment, approving or denying each reimbursement request, generating plan documents and employee notices, and giving employees a place to submit claims. Platforms such as Thatch list payroll integration, premium payments and compliance reporting among what their monthly fee covers. An administrator does not choose your allowance, design your employee classes or enroll anyone in an individual policy. Licensed agents handle enrollment, and a specialist designs the plan. The guide to who sets up an ICHRA explains how those roles differ.
Four things set the bill: how many employees the platform bills, the monthly rate per employee, any flat monthly or annual platform fee, and any one-time setup fee. Published list prices use different structures, so a written quote for your headcount is the only number that can be compared reliably.
Three platforms publish prices on their own sites as of 1 October 2026. These are list prices, not quotes, and each is worded the way the vendor words it.
| Platform | What its page says | Source |
|---|---|---|
| PeopleKeep | ICHRA starting at $25 per employee per month, with a $50 base fee added to the subscription. No charge for opted-out employees. Minimum of three seats. | peoplekeep.com/pricing |
| Thatch | Standard tier for 1 to 49 eligible employees. Example shown: $45 x 4 employees + $50 compliance fee = $230 a month. You pay only for employees who enroll. 50 or more eligible employees is custom. | thatch.com/pricing |
| Take Command | Small employers, 1 to 49 employees: $25+ per employee per month. No setup fees. Lists a separate monthly platform fee line. 50 or more employees is custom. | takecommandhealth.com/take-command-pricing |
Other administrators do not publish a price on their sites that we could find, so their quotes go into the calculator the same way. Scope also moves the price: whether ACA reporting, employee support and advisory help are included, and whether the fee applies to everyone offered the plan or only to those who enroll.
Setup fees are one-time and land in year one only. The per-employee monthly fee, any flat monthly fee and any annual fee repeat every plan year. Allowances are not an administration cost at all: they are the benefit you pay employees, and they usually make up most of the total.
This is why the calculator splits the result. Year one equals recurring cost plus setup. Year two drops the setup fee, so the recurring line is the better guide to what the administrator will cost you over time. Headcount changes the recurring line directly: with a per-employee fee, adding five employees adds five times the monthly rate to every month of the year. Where a platform bills only enrolled employees, an employee who opts out lowers the bill. Where it bills everyone offered the plan, an opt-out saves nothing on administration. Check which rule your quote follows before entering a headcount.
Administration share equals year-one administration cost divided by year-one total cost, where total cost is annual allowances plus administration. Annual allowances equal headcount times the monthly allowance times 12. Every step is shown beside your result, so a colleague or an AI assistant can check it.
The optional group plan comparison subtracts the ICHRA year-one total from the premium the company pays today. A positive figure means the ICHRA year-one cost is lower than the premium you entered, and a negative one means it is higher. This is a plain cash comparison and it leaves out things that matter in a real decision: what employees pay out of pocket under each option, the quality of the plans they can reach, and any premium tax credit they may lose when an offer is deemed affordable. The affordability calculator covers that test, and the group plan versus ICHRA tool goes further on cost.
Talk to a licensed agent
Bring your numbers from this page. The call is to work out whether an ICHRA fits your headcount, not to put you on a plan.
InsureICHRA designs and runs the arrangement. Enrolling an employee in an individual health plan is handled by licensed agents, and InsureICHRA is not an insurance agency, an insurance carrier or a licensed producer. Calls to this number reach a licensed agent. Nothing on this page is an offer of coverage or a recommendation of any plan or carrier. Plan availability, benefits and premiums vary by state, by carrier and by the employee's rating area. We are paid when an employer we advise puts an ICHRA in place and their people enroll through our licensed agent partners.
